Job Description:
Job SummaryWe are seeking an enterprise-level, highly strategic Operations Manager – Lien Resolution to work with both our high-touch single-event personal injury files and our high-volume mass tort/MDL settlement dockets. In this role, you will be the driving force behind our operational pipelines, directly managing our internal team and controlling relationships across all major healthcare recovery vendors.
Your core objective is to maximize operational throughput, enforce rigid compliance protocols, and drastically reduce cycle times across both linear and batched resolution lifecycles.
Key Responsibilities
Vendor Management & Strategic Oversight
- Manage all third-party vendor relationships including government recovery contractors (CMS, BCRC, CRC), state Medicaid recovery units, and private subrogation contractors (e.g., Optum, Equian, Conduent, Rawlings).
- Enforce vendor SLAs ensuring external partners meet strict turnaround times for verifying, auditing, and issuing conditional payment notices and final demands.
- Architect data-exchange protocols with vendor portals to safely, accurately, and rapidly transmit high-volume claimant rosters for mass tort dockets.
Dual-Pipeline Operations & Workflow Scaling
- Optimize distinct workflows ensuring single-event files move seamlessly through individual verification and auditing, while mass tort dockets utilize batched processing and global resolution models.
- Identify pipeline bottlenecks and implement automation or case management updates to lower overall turnaround times from initiation to final distribution.
- Establish global holdback structures and master settlement grids for mass torts while ensuring case-by-case precision for single-event personal injury clients.
Team Leadership & Quality Assurance
- Lead, mentor, and scale a dedicated team of lien resolution analysts and specialists, setting clear production KPIs tailored to each pipeline.
- Enforce rigorous audit controls to maintain flawless data integrity across complex mass spreadsheets, claimant profiles, and internal case management systems.
- Serve as the primary escalation point for complex lien disputes, high-value individual claims, or structural gridlocks with recovery agencies.
Reporting & Compliance Strategy
- Stay ahead of regulatory changes impacting Medicare Secondary Payer (MSP) compliance, Medicaid recovery rights, and ERISA self-funded frameworks.
- Develop executive dashboards tracking project-level mass tort milestones alongside firm-wide single-event cycle times, reduction percentages, and clearance rates.
Qualifications & Skills
- Experience: 5+ years in lien resolution, healthcare subrogation, or settlement administration, with a proven track record of managing teams across both mass tort and single-event personal injury pipelines.
- Vendor Expertise: Extensive hands-on experience navigating the processes, portals, and escalation paths of all primary healthcare recovery vendors (CMS, Optum, Equian, etc.).
- Technical Knowledge: Mastery of Medicare Parts A/B/C/D, Medicaid grids, ERISA compliance, Military (TriCare/VA), and global settlement mechanics.
- Data & Tech Savvy: Advanced proficiency in Microsoft Excel (VLOOKUPs, pivot tables, data parsing).
- Core Competencies: Ability to pivot smoothly between high-level data strategy (managing rosters of thousands) and micro-level analysis (auditing a single complex medical demand).
The Compensation range for this role is $100,000 to $115,00 USD annually and may be eligible for an annual bonus.
